This page sets out the terms that govern your access to and use of the website located at iimalumnicanada.org (the "Website") and your membership in and interactions with IIM Alumni of Canada ("IIMAC," "we," "us," or "our"), an incorporated not-for-profit organization, and it explains in detail how we collect, use, disclose, and protect your personal information. By accessing the Website, submitting a registration, completing a membership purchase or renewal, or otherwise using our services, you acknowledge that you have read, understood, and agreed to be bound by both these Terms & Conditions and this Privacy Policy in their entirety. If you do not agree with any part of these documents, you must not access the Website, register for membership, or use our services.

Part A — Terms & Conditions of Use and Membership

1. About IIMAC

IIMAC is a volunteer-led, incorporated not-for-profit alumni association whose purpose is to connect, support, and represent alumni of the Indian Institutes of Management (IIM) and, where eligible, alumni of other recognized management and professional institutions, who reside primarily in Canada. IIMAC facilitates professional networking, career and business opportunities, mentorship, community events, knowledge-sharing, and related activities that advance the interests of its members and the broader alumni community. IIMAC operates strictly on a not-for-profit basis; membership fees, contributions, and event proceeds are applied toward furthering the organization's purposes and covering its operating costs. IIMAC is governed by a volunteer executive board, directors, officers, committee members, and chapter leads who act in a voluntary capacity.

2. Eligibility and Member Accounts

Membership tiers and their respective eligibility criteria are described on the Website and may be updated from time to time. Core membership is generally available to verified alumni of the Indian Institutes of Management. The "Friends of IIMAC" tier is available to alumni of designated Indian and Canadian management and professional institutions, and to other individuals approved by the IIMAC committee, subject to the eligibility rules published on the Website and, where applicable, referral by an active IIMAC member. IIMAC reserves the right, at its sole and reasonable discretion, to verify eligibility, to request supporting documentation or proof of affiliation, and to approve, decline, defer, suspend, or revoke any membership or application.

To access certain features of the Website you must create an account and provide information that is accurate, current, and complete, and you agree to keep that information up to date. You are solely responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account, and you agree to notify us promptly of any unauthorized use or suspected breach of security. IIMAC is not liable for any loss or damage arising from your failure to safeguard your credentials. Upon approval, you may be assigned an IIMAC membership identifier (for example, in the format "IIMACxxxx"); this identifier is provided for administrative purposes and remains the property of IIMAC.

3. Membership Tiers, Fees, and Payment

IIMAC offers membership tiers as described on the Website, which currently include an Annual membership, a Lifetime membership, and a Friends of IIMAC membership. Fees, benefits, inclusions, and any legacy or promotional pricing are as published on the Website and may change from time to time at IIMAC's discretion. The fees applicable to you are those in effect at the time you complete your purchase or renewal.

IIMAC accepts payment through third-party payment processors integrated with the Website (for example, through our membership-management platform and its associated payment gateway) and through Interac e-Transfer. When you pay through a third-party processor, your payment and any information you provide to that processor are subject to that processor's own terms of service and privacy practices, over which IIMAC has no control. IIMAC does not receive or store your full payment card details; those are handled directly by the payment processor. Where you pay by Interac e-Transfer, you are responsible for sending the correct amount together with accurate reference and memo information so that your payment can be correctly identified and attributed to your membership; delays or misattribution resulting from incomplete or inaccurate reference information are your responsibility.

Renewals. Annual memberships expire at the end of their term unless renewed. Where a recurring subscription arrangement is enabled, your membership may renew automatically on the applicable renewal date using your stored payment method, at the fee in effect at that time, and will continue to renew until you cancel. Lifetime memberships do not require renewal. It is your responsibility to keep your contact and payment information current so that renewal notices and receipts reach you.

Refunds. Except where required by applicable law or expressly stated otherwise on the Website, membership fees and contributions are generally non-refundable. If you believe a payment was made in error, was duplicated, or that you were charged incorrectly, please contact us and we will review the matter in good faith; duplicate or clearly erroneous payments may be refunded at IIMAC's discretion.

Taxes and receipts. You are responsible for any applicable taxes associated with your membership unless otherwise stated. As IIMAC is an incorporated not-for-profit organization and is not necessarily a registered charity, membership fees and voluntary contributions are generally not tax-deductible as charitable donations, and IIMAC does not issue charitable donation tax receipts unless it expressly states in writing that it is authorized to do so.

4. Member Benefits and the Alumni Directory

Membership benefits may include, without limitation, access to a searchable alumni directory, a job board and referral engine, mentorship and "buddy" matching, newsletters, community messaging channels, and networking events, all as described on the Website. Benefits are provided on an "as available" basis and may be added to, modified, suspended, or discontinued at any time without liability to you.

If you elect to be listed in the alumni directory, the information you choose to make visible may be accessible to other approved members for the purpose of legitimate, individual, member-to-member networking. You expressly agree that you will not use directory information or member contact details to: send unsolicited bulk communications, marketing, or spam; conduct recruitment or solicitation in a manner that violates applicable law; harvest, scrape, copy, export, or compile information about members whether by manual or automated means; or for any purpose other than genuine one-to-one networking consistent with these Terms and the Directory Code of Conduct. Misuse of member data is a serious violation of these Terms and may result in immediate suspension or termination of your membership and, where warranted, referral to authorities and legal action.

5. Acceptable Use

You agree to use the Website and IIMAC's services lawfully, respectfully, and in good faith. In particular, and without limitation, you agree that you will not:

• Violate any applicable law or regulation, or infringe or misappropriate any third party's rights;
• Post, transmit, or share content that is unlawful, defamatory, harassing, abusive, threatening, discriminatory, hateful, obscene, misleading, or fraudulent;
• Impersonate any person or organization, or misrepresent your identity, affiliation, credentials, or eligibility;
• Upload or transmit viruses, malware, or other harmful code, or attempt to gain unauthorized access to the Website, other members' accounts, or IIMAC's systems or data;
• Scrape, crawl, harvest, index, or otherwise extract data from the Website or the directory by automated or manual means without IIMAC's prior written consent;
• Use member contact information for unsolicited commercial communications or in any manner that violates Canada's Anti-Spam Legislation ("CASL");
• Interfere with, disrupt, or place an unreasonable load on the Website or its infrastructure; or
• Use the Website or services for any commercial purpose not authorized by IIMAC, or in competition with IIMAC.

IIMAC may investigate suspected violations and take any action it considers appropriate, including removing content, restricting features, suspending or terminating access, and cooperating with law-enforcement or regulatory authorities.

6. Member-Submitted Content

You retain ownership of the content you submit to the Website or to IIMAC (such as profile details, biographical information, posts, comments, and messages). By submitting content, you grant IIMAC a non-exclusive, royalty-free, worldwide, sublicensable licence to host, store, reproduce, adapt for formatting purposes, and display that content solely for the purpose of operating, administering, and promoting IIMAC and its services, consistent with this Privacy Policy. You represent and warrant that you own or have the necessary rights to the content you submit and that it does not infringe or violate the rights of any third party. IIMAC may, but is not obligated to, monitor, review, moderate, edit for formatting, or remove any content at its discretion.

7. Events and Volunteer Activities

IIMAC may organize, host, sponsor, or promote events, including in-person gatherings, socials, conclaves, and chapter meetups. Additional terms — including registration, ticketing, attendee conduct, health and safety requirements, and photography or recording policies — may apply to specific events and will be communicated at the time of registration or attendance. Your attendance at and participation in any event or activity is voluntary and undertaken entirely at your own risk, and by attending you agree to comply with all applicable venue rules and with IIMAC's code of conduct. IIMAC volunteers, chapter leads, and committee members act in a voluntary capacity and are not authorized to bind the organization beyond their stated roles.

8. Third-Party Services and Links

The Website may contain links to, or integrate with, third-party websites, platforms, and services — for example, payment processors, messaging and community platforms, event-management tools, email and newsletter services, and professional-networking platforms. These third parties are governed by their own terms of service and privacy policies, and IIMAC does not control and is not responsible for their content, practices, availability, or security. The inclusion of any link or integration does not imply endorsement by IIMAC.

9. Intellectual Property

The Website and its contents — including all text, graphics, logos, badges, the IIMAC name and marks, page layout, design, and underlying software — are owned by or licensed to IIMAC and are protected by applicable intellectual-property laws. Except for content you have submitted, you may not copy, reproduce, republish, distribute, modify, translate, or create derivative works from any part of the Website without IIMAC's prior written permission. The "IIM" name and the names, crests, and marks of the individual Indian Institutes of Management and of any other institutions referenced on the Website are the property of their respective owners; IIMAC's reference to alumni affiliations is for identification and community purposes only and does not imply sponsorship, endorsement, or affiliation by those institutions.

10. Disclaimers

The Website and all services are provided on an "as is" and "as available" basis, without warranties or representations of any kind, whether express, implied, or statutory, to the fullest extent permitted by applicable law. Without limiting the foregoing, IIMAC does not warrant that the Website will be uninterrupted, timely, secure, or error-free, or that any information made available through the Website — including directory listings and information provided by members — is accurate, complete, reliable, or current. IIMAC is a networking and community organization and makes no guarantee of any employment, business, investment, mentorship, referral, or other outcome. Any reliance you place on information obtained through the Website or from other members is strictly at your own risk.

11. Limitation of Liability

To the fullest extent permitted by applicable law, IIMAC and its executive board, directors, officers, volunteers, committee members, chapter leads, and agents will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, goodwill, business, or opportunities, whether based in contract, tort (including negligence), or any other legal theory, arising out of or relating to your access to or use of, or inability to access or use, the Website or services, your interactions with other members or alumni, or these Terms, even if IIMAC has been advised of the possibility of such damages. To the extent that any liability cannot be excluded, IIMAC's total aggregate liability arising out of or relating to these Terms or your membership will not exceed the greater of (a) the total membership fees you actually paid to IIMAC in the twelve (12) months immediately preceding the event giving rise to the claim, or (b) CAD $100. Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.

12. Release and Indemnification

You agree to indemnify, defend, and hold harmless IIMAC and its executive board, directors, officers, volunteers, committee members, chapter leads, and agents from and against any and all claims, demands, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or related to your access to or use of the Website or services, the content you submit, your interactions with other members or alumni, your participation in any event or activity, or your breach of these Terms or of any applicable law or third-party right. This obligation, together with the release described in Part C below, survives the termination of your membership.

13. Suspension and Termination

You may cancel your membership at any time by contacting us or by using any self-service cancellation option provided. IIMAC may suspend or terminate your account, membership, or access to the Website or services, with or without notice, if it reasonably believes you have violated these Terms, if required to do so by law, or where necessary to protect IIMAC, its members, or the public. Upon termination, your right to access the Website and to receive member benefits ceases immediately. Provisions that by their nature should survive termination — including those relating to intellectual property, disclaimers, limitation of liability, release, and indemnification — will survive.

14. Changes to These Terms

IIMAC may revise these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page and, where appropriate, provide additional notice. Any changes are effective when posted. Your continued access to or use of the Website or services after changes take effect constitutes your acceptance of the revised Terms.

15. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict-of-laws principles. You agree that the courts located in Ontario will have jurisdiction over any dispute arising out of or relating to these Terms, subject to any mandatory consumer-protection rights available to you under applicable law. Before commencing any formal proceedings, the parties agree to attempt in good faith to resolve any dispute informally by first contacting one another.

Part B — Privacy Policy

IIMAC respects your privacy and is committed to protecting the personal information you entrust to us. This Privacy Policy explains what personal information we collect through the Website and in the course of our activities, how we use and disclose it, how long we keep it, and the choices and rights available to you. This Policy is designed to align with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and with applicable provincial privacy legislation.

1. Scope

This Policy applies to personal information we collect from members, prospective members, applicants, event attendees, volunteers, and Website visitors, whether that information is collected through the Website, by email, at events, over messaging channels, or otherwise. It does not apply to third-party websites, platforms, or services that we link to or integrate with, each of which is governed by its own privacy policy.

2. Personal Information We Collect

Depending on how you interact with IIMAC, we may collect the following categories of personal information:

We collect personal information directly from you (for example, when you register, renew, attend an event, or contact us), automatically as you use the Website, and, in limited circumstances, from third parties or from public professional sources for the purpose of verifying alumni status or maintaining an accurate directory. Where we obtain information from other sources, we take reasonable steps to ensure it is collected and used lawfully.

3. How We Use Your Personal Information

We use personal information to: establish, administer, and manage your membership, including verifying your eligibility and assigning your IIMAC identifier; process payments, renewals, and refunds and reconcile transactions; operate the alumni directory and member benefits, including networking, the job board, referrals, and mentorship matching; communicate with you about your membership, events, newsletters, and organizational updates in accordance with your preferences; organize and manage events and volunteer activities; improve, secure, and maintain the Website and our services; comply with legal, regulatory, accounting, and reporting obligations and enforce our Terms; and for any additional purpose that we disclose to you at the time of collection or to which you consent.

4. Consent — How You Give It and How You Control It

We collect, use, and disclose personal information with your consent, which may be express or implied depending on the sensitivity of the information and the circumstances of collection. During registration, and on an ongoing basis through your member profile, IIMAC presents a set of clearly labelled consent choices that allow you to control how your information is shared and how we communicate with you. Making these consent selections is a necessary and integral part of registering for and maintaining membership in IIMAC and of using the Website, because your choices directly determine how the directory, communications, referral features, event media, chapter outreach, and data-retention functions operate in relation to you. The consent choices presented on the registration form and in your profile include, at a minimum, the following:

• Directory Visibility — whether and how you appear in the member directory, including whether your email address and telephone number are visible to other approved members or kept private, or whether you choose not to be listed at all.
• Referrals & Opportunities — whether you wish to be flagged as open to job referrals and professional opportunities, and the contact methods through which members may reach you about them.
• Newsletters & Event Invitations — the categories of non-essential electronic communications you agree to receive from IIMAC, ranging from essential account messages only, to event and chapter invitations, to our full communications including newsletters and organizational updates. This choice is governed by Canada's Anti-Spam Legislation (CASL), and essential account and membership messages are sent to you regardless of this setting.
• Event Photography & Media — how photographs and video recordings taken at IIMAC events that include you may be used, ranging from use across public channels and social media, to use on IIMAC's own channels only, to a request that your image not be used.
• Local Chapter Contact — whether your local city-chapter lead may contact you directly about nearby events and activities, or whether you prefer to be contacted only by IIMAC's central team.
• Retention If Your Membership Lapses — what happens to your directory profile and record if your membership expires and is not renewed, ranging from retaining your profile so you can rejoin easily, to hiding your profile while keeping your record, to deleting your profile data after a defined period, subject to records we are required to keep by law.

These choices are presented in full on the registration page and remain available to you thereafter. You may change most of these preferences at any time through your member profile or by contacting us, subject to legal and contractual limits and to any processing that has already taken place in reliance on your prior selection. Where we rely on implied consent — for example, to send you administrative communications necessary to your membership — you may withdraw that consent as described in Section 10, subject to the consequence that withdrawing certain consents may limit or prevent your continued use of specific features or of membership itself. We will not, as a condition of membership, require you to consent to uses of your personal information beyond what is necessary to provide the services you have requested, except with your separate consent.

5. How We Share Your Personal Information

We do not sell your personal information. We share it only in the following limited circumstances: with other members, where directory information you have chosen to make visible is made accessible to approved members for member-to-member networking, in accordance with your Directory Visibility selection; with trusted service providers who perform functions on our behalf — for example, website hosting, our membership-management platform, payment processors and the Interac e-Transfer network, email and newsletter tools, event platforms, and analytics providers — and who are permitted to use personal information only to provide services to us and are required to protect it; for legal reasons, where required to comply with applicable law, legal process, or a governmental or regulatory request, or to protect the rights, safety, or property of IIMAC, our members, or others; in the context of an organizational change, such as a merger, amalgamation, reorganization, or transfer of IIMAC's activities, in which case personal information may be transferred as part of that transaction subject to appropriate protections; and with your consent, for any other purpose you authorize.

6. Storage, Transfers, and Cross-Border Processing

Your personal information may be stored and processed in Canada and in other countries where our service providers operate, which may include the United States. When personal information is transferred to or processed in another jurisdiction, it may be subject to the laws of that jurisdiction, including lawful access by courts, law-enforcement, and national-security authorities. We take reasonable contractual and organizational measures designed to ensure a comparable level of protection for your personal information wherever it is processed.

7. Cookies and Similar Technologies

The Website uses cookies and similar technologies to enable core functionality (such as keeping you signed in), to remember your preferences, and to understand how the Website is used so that we can improve it. Some cookies are strictly necessary for the Website to function; others are optional. You can control cookies through your browser settings, although disabling certain cookies may affect the functionality of the Website. Where required by applicable law, we will request your consent for non-essential cookies through a banner or similar mechanism.

8. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, to maintain accurate membership and financial records, and to comply with our legal, accounting, and reporting obligations. Your directory profile and record are additionally retained in accordance with the "Retention If Your Membership Lapses" consent choice you selected at registration or subsequently updated in your profile. When personal information is no longer required, we take reasonable steps to securely delete, destroy, or anonymize it, except where we are required by law to retain it (for example, financial and transaction records retained for the periods required by applicable law).

9. How We Protect Your Information

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification, appropriate to the sensitivity of the information. These measures include restricting access to those who need it to perform their roles, engaging reputable service providers, and applying security controls to the Website. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

10. Your Rights and Choices

Subject to applicable law, you have the right to: access the personal information we hold about you and request information about how it has been used and disclosed; request the correction of inaccurate or incomplete information; withdraw your consent to certain uses or disclosures, on reasonable notice and subject to legal or contractual restrictions, understanding that doing so may affect your membership or your access to certain features; unsubscribe from marketing or newsletter communications at any time using the unsubscribe mechanism provided or by contacting us, noting that we may still send you essential membership-related messages; and request deletion of your information where we are not otherwise required to retain it. To exercise any of these rights, please contact our Privacy Contact identified below. We may need to verify your identity before responding, and we will respond within the timeframes required by applicable law.

11. Children's Privacy

The Website and our services are intended for adults — namely, alumni and other eligible individuals. We do not knowingly collect personal information from children. If you believe that a child has provided us with personal information, please contact us and we will take appropriate steps to remove it.

12. Electronic Communications and CASL

We send commercial and organizational electronic messages in accordance with Canada's Anti-Spam Legislation (CASL). We rely on your consent — express or implied, including through your existing membership relationship with us — to send you such messages; we identify ourselves clearly in our messages; and we provide a functioning unsubscribe mechanism in every commercial electronic message. You may withdraw your consent to receive non-essential electronic messages at any time, and we will give effect to your request within the period required by law.

Part C — Member Acknowledgements, Consents, and Release

Completing registration and maintaining membership in IIMAC requires you to make the consent selections described in Part B, Section 4, and to provide the acknowledgements set out below. These consent choices and acknowledgements are necessary conditions of registering for membership, of being listed and participating in the member directory and community, and of using the Website and IIMAC's services. They are presented to you on the registration page at the time you join, are recorded as part of your membership, and remain available for review and, where applicable, adjustment through your member profile. By completing registration you confirm that you have been given the opportunity to review each of these matters and that you agree to them.

1. Agreement to the Terms & Conditions and Privacy Policy ack_terms

You confirm that you have read, understood, and agree to be bound by the Terms & Conditions and the Privacy Policy set out on this page, as they may be updated from time to time.

2. Directory Code of Conduct ack_conduct

You agree to the Directory Code of Conduct. Specifically, you agree that you will not scrape, harvest, copy, or export member data by manual or automated means; will not use member contact details for bulk mailing, marketing, or any unsolicited commercial communication; and will use the directory and member contact information solely for legitimate, individual, member-to-member networking. You acknowledge that any breach of this Code of Conduct is a serious violation that may result in the immediate suspension or termination of your membership and, where warranted, in legal action and referral to authorities.

3. Accuracy of Your Information ack_accuracy

You confirm that the profile and membership information you provide is verified and provided by you and is accurate, current, and complete to the best of your knowledge, and you agree to keep it up to date. You acknowledge that IIMAC relies on the accuracy of this information to administer your membership, verify your eligibility, and operate the directory and member benefits.

You confirm that you have made, and consent to IIMAC giving effect to, your selections regarding Directory Visibility, Referrals & Opportunities, Newsletters & Event Invitations, Event Photography & Media, Local Chapter Contact, and Retention If Your Membership Lapses, each as described in Part B, Section 4. You understand that these selections govern how your personal information is displayed, shared, used for communications and event media, and retained, and that you may review and update most of them at any time through your member profile, subject to legal and contractual limits and to processing already carried out in reliance on your prior choices. You further understand that these consent choices are necessary to use the Website and to be a member of IIMAC, and that declining or later withdrawing certain consents may limit or prevent your use of specific features or of membership itself.

5. Liability Waiver and Release ack_liability

I acknowledge and agree that IIM Alumni in Canada (IIMAC), along with its executive board, directors, officers, volunteers, and agents, is not responsible or legally liable for any communications, solicitations, or interactions I receive as a result of my directory listing. I hereby release and hold harmless IIMAC from any and all claims, liabilities, damages, or losses arising from interactions with IIMAC members (active or inactive) or any IIM alumni. Furthermore, I expressly release IIMAC from any legal liability or claims resulting from my voluntary participation in any IIMAC-hosted, sponsored, or affiliated events and activities.
